Our Intelligent Assistants can do anything a traditional receptionist can do such as screen and announce calls to you and your team members, answer frequently asked questions, take messages, call notes, intakes, schedule appointments, data entry etc. Our team can make outbound calls using your business number as well. No. Our team is trained to answer every call exactly as if they worked in your office. We use your business name, follow your script, and maintain a professional, local tone. We become an extension of your team, and callers assume they're speaking with your in-house team.

Absolutely. During setup, you'll provide your business name and any specific greeting you want us to use. For example: 'Good morning, thank you for calling Smith Construction, this is Jennifer speaking.' We follow your exact preferences and handle every call your way.

We can take messages via multiple channels like text or email. We can also let a caller know you are unavailable but if they leave a voicemail, you'll get back to them. You won't miss a thing. Just let us know how you want your calls handled when you are unavailable, and we'll take care of the rest.

Yes. We can transfer calls directly to you or route them based on your availability rules. You control when you want transfers versus messages. Everything is completely customizable based on your business needs.

Yes to both. We capture detailed messages including caller info, reason for calling, and preferred callback time. For scheduling, we can access your calendar (Google Calendar, Outlook, etc.) and book appointments directly based on your availability.

Yes. We have bilingual receptionists so just let us know during setup if you need Spanish support, and we'll make sure your account is flagged for bilingual handling.

Absolutely. You can update your call scripts, availability, transfer rules, and any other instructions at anytime. Email, text, or call us and we will take care of it immediately!

Most clients are fully set up and live within two business days. Once you sign up, you'll receive an Orientation Form that takes around 20 minutes to complete, depending on the complexity of your needs. We'll begin to configure your account and provide you with forwarding instructions. The sooner we receive the Orientation Form back from you, the sooner we can train our team your way! You can start forwarding your calls as soon as we confirm you're ready.

You pay for what you use. Your plan includes a minute overage cost. We don't charge for any calls less than five seconds long (spam protection), ring time, or hold time. You can go over your minute plan and there's no disruption in your service. We closely monitor overages and if you have frequent monthly overages where it's cost-effective for you to right size your account, we will reach out to you so you can make the decision if you want to increase your minute plan.

Intelligent Office answers your calls Monday through Friday, 8am to 5pm. Our team is local so you can visit the office and talk to the team members who answer your calls. You only pay for the plan you need which includes full time coverage, regardless of your call volume. For example, with our 50 minute plan, you are gaining a full time staff for $1.25/hour. Forget about tracking receptionist hours, arranging coverage for sick or vacation days, or handling HR headaches. We take care of that for you. Train us one time, and we become a natural extension of your team.

If you have a business number, you can keep your number and forward it to us. If you'd like to get rid of an extra phone bill, we can even house the number for you. The good news is that it's always your number. If you ever canceled, you would take the number with you. If you don't have a business number, we will provide one for you. You can pick the area code and we will get it set up for you. Again, if you ever chose to cancel services, you take the number with you! It's yours to keep.

There are a couple ways you can set up your call handling. You can set up your business line to ring first to you and then ring to Intelligent Office if you don't answer after a certain number of rings. This is called a delayed forward and is pretty easy to set up. We can walk you through it. Alternatively, we can answer all your calls and screen them based off of your criteria and then call and announce them to you as appropriate.

Sometimes, you need extra coverage! Our team works Monday through Friday, 8am to 5pm. If you need coverage outside of that, we have a couple options. First, if it's just extended coverage, we try to partner with our other Intelligent Office locations across the United States. This provides the same high quality IO service for those few extra hours. If you need coverage on weekends or 24/7, we've partnered with a third party provider who can assist with these specific cases.
